1. With which conference or event hotels do you work with?
We work with all hotels available in the European market. However, our core competence lies within the Swiss market wherein we know all conference centers and hotels personally and with which we have been doing business for many years. We also know many hotels and convention centers personally in nearby countries, such as Germany. Austria, France, the Netherlands and Italy, and our network is expanding from day to day. These hotels and convention centers are our partners and we do business with them on a professional and straightforward basis. However, we do not have any contracts with any hotels or any other commitments which would interfere with our neutrality.
2. Who leads the discussions with the hotel and who is the contractual partner?
We conduct the price negotiations and arrange for the organisational details until finalization. As soon as you choose the place, we will make sure that the hotel of your choice will send you the contract. As from that moment, you will have a personal contact partner at the hotel and you can discuss all additional details with the professionals on site. Thereafter we clear the other options which were on hold.
3. How can you guarantee discretion and exclusivity upon our inquiry?
In principle we do inform our hotel and event partners about the name of our client from the beginning. This to avoid that a competitor or a company from the same sector hold meetings at the same place. Upon the client’s special request, it is of course possible the keep the place of the event absolutely secret.
4. Can we ask several agencies to look for the appropriate location?
It does not make sense to request offers from different agencies on event space, as this leads to overlapping bookings. It unnecessarily block rooms and meeting space, to which the hotels react with a justified lack of understanding.
5. Do I take any risks when requesting Conference Services to look for the appropriate event space?
NO – not at all. Based upon our long lasting experience with the planning of events and our partnerships with the various hotels, you can count on our professional support and advice. We can show you with substantiated informations which places would be best to your meeting and what you have to keep in mind when looking for such meeting place, all of this at no costs and no obligations for you.
6. Free of charge – how is this possible?
Our services are financed by the hotels, which pay us a commission upon finalization of a booking – similar to a travel agency. However this commission is under no circumstances passed on to the customer through the hotel prices. You will always be quoted the best available prices, the same as you would receive when contacting the hotel directly. You remunerate us for our work if you book the hotel, whenever possible, through us. On the other hand, no costs will incur if you choose to book a hotel which we did not offer.
7. Are our agreements with certain hotels being taken into consideration?
YES – should you or your company have an agreement or a corporate agreement with a hotel or a hotel chain, please let us know. Of course, the terms will be taken into consideration.
